Your privacy matters to us. This page explains what information we collect when you use this website, why we collect it, how we keep it safe, and the rights you have over it under UK data protection law.
Who we are
This website is operated by Medway Roofing And Guttering ("we", "us"), a roofing and guttering business based at 7 Vicarage Road, Rochester, Kent ME2 4DG.
For the purposes of the UK GDPR and the Data Protection Act 2018, we are the data controller for the personal information described on this page. That means we decide why and how it is used, and we are responsible for looking after it.
You can contact us about anything on this page:

What information we collect
We only collect what we need in order to respond to your enquiry and carry out work for you.
Information you give us through our quote and contact forms:
- Your name
- Your email address
- Your phone number
- Details of the job, problem or property you describe
- Anything else you choose to type into the message field
Some of these fields are optional. You decide what to tell us. If you would rather not use the form, you can always call us instead.
Information collected automatically:
Our hosting provider records basic technical information when pages are loaded — such as the page requested and the time it was requested. This is used for security, to keep the site running, and to understand at a high level how many people visit. It is not used to identify you as an individual, and we do not use it to build a profile of you.
Information from phone calls and messages:
If you call or email us, we may keep a record of the conversation and any notes needed to quote for and carry out your job.
What we do not collect
To be clear about what this website does not do — we do not:
- Ask for or store payment card details on this website
- Create customer accounts or hold login details
- Use advertising or tracking cookies to follow you around the internet
- Sell, rent or trade your personal information to anyone
- Use your details for automated profiling or decision-making
How we use your information
Under data protection law we need a lawful reason to use your information. We rely on the following:
- To respond to your enquiry and provide a quote — we do this because you have asked us to, and because it is necessary to take steps towards entering into a contract with you
- To arrange, carry out and follow up on work — necessary for performing the contract we have with you
- To keep records of jobs, invoices and guarantees — necessary for our legitimate interests in running the business properly, and to meet legal and tax obligations
- To improve our website and service — based on our legitimate interest in understanding how the site is used
We will never use your information for marketing unless you have specifically asked us to, and you can withdraw that at any time.
Cookies
This website uses only the cookies strictly necessary for it to work — for example, remembering information needed while you are filling in a form, and keeping the site secure.
We do not use Google Analytics, advertising networks, or any other third-party tracking cookies. Because of that, you will not see a cookie consent banner: there is nothing non-essential to ask you to consent to.
If that changes in future, we will ask for your permission before setting any non-essential cookie, and this page will be updated to say so.
Who we share it with
We do not sell your information. We share it only with the service providers who help us run the website and the business, and only where they need it:
- Our website platform, which hosts this site and processes form submissions securely so that enquiries reach us
- Our email provider, which delivers enquiries and correspondence to us
- Our accountants, for invoicing and tax records — where a job proceeds
- Anyone we are legally required to share information with, such as HMRC or a court
These providers are only permitted to use your information to provide their service to us. Some may process data outside the UK; where they do, they are required to protect it to UK standards.
How long we keep it
- Enquiries that do not lead to work — usually no longer than 12 months, then deleted
- Job records, quotes and invoices — up to 6 years after the work, because HMRC requires business records to be kept that long and it is the period in which a claim could be made
- Guarantee records — for the length of the guarantee, so we can honour it if you need us
Keeping your information safe
We take reasonable steps to protect your information — including secure transmission of form submissions and access limited to those of us who need it to do the job. No system is perfectly secure, but we handle your information carefully and in line with data protection law.
Your rights
Under UK data protection law you have the right to:
- Be informed about how your information is used — which is what this page is for
- Access a copy of the personal information we hold about you
- Ask us to correct anything inaccurate
- Ask us to delete your information, in certain circumstances
- Ask us to restrict or object to how we use it
- Receive your information in a portable format, in certain circumstances
- Withdraw any consent you have given at any time
To exercise any of these, just contact us using the details above. We will respond within one month. There is no charge.
If you are unhappy with how we have handled your information, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would always rather you came to us first so we can put things right.
Links to other websites
Our site may link to other websites — for example review platforms or suppliers. Those sites have their own privacy policies, and we are not responsible for how they handle your information. It is worth reading their policies before sharing anything with them.
Changes to this policy
If we change how we handle information, we will update this page and the "last updated" date at the top. Where a change significantly affects you, we will make it clear on the website.
Questions About Your Data?
Ring or email us and we'll answer honestly. We'd rather deal with it directly than have you wonder.
This policy is a plain-English summary of how we handle personal information. It is not legal advice, and if you have a specific concern about your data we would encourage you to contact us or the ICO.
